Client Portal: An online platform providing secure communication and document sharing between the law firm and its clients

User: You, as a client of the law firm/legal service provider

The data controller is the law firm/legal service provider representing you, the data processor is Flowyer LegalTech Kft. Flowyer LegalTech Kft. has not appointed a data protection officer, as it does not conduct data processing activities that would require this.

Purpose of data processing: Ensuring secure communication between you and your legal representative, document sharing, facilitating case management, and fulfilling contractual rights and obligations related thereto.

Legal basis for data processing: performance of contractual obligations (GDPR Article 6(1)(b)) and legitimate interest (GDPR Article 6(1)(f)).

Scope of processed data: name, email address, message content, uploaded documents and files, technical data (IP address, browser type, operating system data).

Duration of data processing: the retention period for personal data is determined by the data controller law firm based on applicable legal requirements and professional obligations. This is generally 5 years after the last login or message exchange, but may be up to 8 years depending on the nature of legal activities and statutory obligations (e.g., for accounting documents).

The software servers are operated by Google LLC. Thanks to the Google Cloud Platform, databases are stored on multiply redundant servers meeting the highest security and availability industry standards, physically located in Frankfurt.
The system automatically creates daily backups of all databases, which are retained for 365 days. Backups are stored in Belgium in a geographically segmented manner. For uploaded files, we use a version control system - deleted or accidentally overwritten files can be restored up to 90 days retroactively.

Subscriber case data is stored in a segmented manner - the system stores each law firm's data in separate databases.

Google LLC provides a minimum 99.95% availability for the software. The Service Provider's responsibility does not extend to the following cases:
• Force majeure circumstances (war, natural disasters, government measures)
• Disruptions in the international internet infrastructure
• Third-party software failures
• Virus or hacker attacks
• Email delivery errors

The recorded personal data may only be accessed by the Data Controller law firm and Flowyer LegalTech Kft. as data processor, to the extent necessary for their activities.

You have the right to request information about processed personal data, request rectification of inaccurate/incomplete data, request data portability - to have your data transferred in a commonly used format, request restriction of data processing in certain cases, request deletion of personal data, and object to data processing (in case of legitimate interest).

The Service Provider and the law firm are under confidentiality obligation regarding all information that comes to their knowledge during the use of the portal. This obligation remains in effect indefinitely, even after the termination of the contract.

To access the portal, we send a uniquely generated secure link valid for 24 hours to your email address. You are responsible for the secure handling of login credentials (email address and password) that protect your email account, as these prevent unauthorized persons from accessing the secure link. The Service Provider assumes no liability for any damages resulting from the use of the portal.

All content of the portal (graphics, texts, functions) is under the Service Provider's copyright protection. Their use, processing, copying, distribution, storage without the explicit written consent of the rights holder constitutes copyright infringement, which entails legal consequences.

Flowyer LegalTech Kft. exclusively performs data processing activities. Data processing decisions are made exclusively by the law firm representing you.

For the resolution of any legal disputes, the court with jurisdiction according to the Service Provider's registered seat is competent. The parties primarily strive to resolve disputed issues through peaceful negotiations.
